The Receptionist and Administrative Assistant duties include answering phones, receiving deliveries, along with other general tasks.
Administrative duties include forms management across departments and platforms, creating forms, documents, and booklets using Word, SAGE, Adobe DC Pro, and QuickBooks, assisting in invoicing and other related tasks.
This position requires a quick learner who is comfortable with numbers, tables, creating word and pdf documents, well organized, able to manage multiple projects with a high level of efficiency and attention to detail, and who has a strong sense of organization.
Potential growth within the Finance and Administrative area of the company.
Essential Duties and Responsibilities Ensuring that client information details are kept up-to-date Ensuring new Customer Onboarding Documentation is complete Creating and sending invoices and statements to customers Checking the data input to ensure the accuracy of the final bill Posts customer account payments by recording transactions Resolves account discrepancies by obtaining and investigating information from the project managers or estimators.
Reporting issues or irregularities to the financial head of the company.
Creates and Updates Company Forms for all departments.
Converts forms to PDF and makes them fillable (Adobe Acrobat DC Pro) Updates Phone/Contact List as needed with new hires and terminations.
Answer telephones to direct calls or provide information Greet customers, vendors, and visitors Distribute incoming mail File documents or records Order office supplies Operate computers and other office equipment Clean and organize facilities and office equipment Prepare business correspondence Proof-read documents, records, or other files to ensure accuracy Provide notifications to customers or employees Transmit information, materials, or documentation via email, mail, or fax Record personnel information Schedule business operational activities Other duties as assigned.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
